Privacy policy

This is a translation of the Dutch privacy policy. In case of any discrepancy, the Dutch version prevails.

Who we are

Welcome to Race With Me (“the Platform”, “we”). Race With Me is an independent, external service that provides live tracking and race support to runners. Organisations (race organisers) purchase the service to offer during their event, but the use of the Platform by participants is always voluntary and on their own initiative. The organisation does not determine which data of an individual participant is processed or displayed — the participant decides that.

Race With Me is the controller within the meaning of the GDPR for the processing of personal data of participants and users.

How the Platform works (in short)

To properly understand the privacy implications of the Platform, here is a brief explanation of how it works:

  • Participation is always voluntary. An organisation may offer Race With Me during an event, but only participants who want to install the app and give permission to be followed.
  • Each participant has a profile that can be public or private:
    • A public profile can be followed during the race by anyone with the tracking link.
    • A private profile can only be followed by people with whom the participant has specifically shared their account.
  • During a race with a predefined route, we only store a participant’s last known location, which is shown on the route map. We do not build up a full track history for these races.
  • For races without a predefined route, we store the full path covered so the participant can look back on it afterwards. Participants can delete this stored route themselves at any time.
  • Minors can use the Platform. Parents or legal guardians are responsible for their child’s use of the service.

Information we collect

Account data

When you register, we process:

  • Name
  • Email address
  • Profile photo (optional)

Usage data

Collected automatically when using the Platform:

  • Activities and interactions within the Platform
  • IP address
  • Browser and device data
  • Operating system and app version

Location data

Location data is processed only:

  • With the explicit, active consent of the participant (not consent via the organisation or a third party)
  • During an active tracking session of a race
  • In accordance with the participant’s profile setting (public or private, see above)

What exactly we process and store depends on the type of race:

  • Races with a predefined route: incoming coordinates are processed to determine the position on the route, but are not stored. Only the most recent coordinate is kept and shown on the route map; previous coordinates are overwritten immediately and no historical track is built up.
  • Races without a predefined route: the full path covered is stored so the participant can look back on it afterwards. The participant can delete it at any time.

The accuracy of location data depends on external factors such as GPS reception and network connection. Race With Me gives no guarantees about the accuracy or availability of this data.

Who can see location data

  • With a public profile: anyone with access to the public tracking link of the race can follow the location, without needing an account.
  • With a private profile: only people with whom the participant has explicitly shared the account.
  • Organisers get no broader access to individual participant data than a regular follower, unless the participant chooses otherwise.

How we use your information

We use personal data exclusively for:

  • Creating and managing your account
  • Showing your live location to followers, in accordance with your profile setting
  • Showing and storing your route for races without a predefined route
  • Securing and optimising the Platform
  • Developing new features
  • Marketing and promotional purposes (only with your consent)
  • Complying with legal obligations
  • Performance of a contract (Art. 6(1)(b) GDPR) — for account management
  • Consent (Art. 6(1)(a) GDPR) — for location tracking and marketing
  • Legitimate interest (Art. 6(1)(f) GDPR) — for security and platform optimisation
  • Legal obligation (Art. 6(1)(c) GDPR)

Consent for location tracking can be withdrawn at any time by switching off tracking in the app or deleting your account. Withdrawing consent immediately stops your location being shared with new followers; views that are already active may show a short delay due to technical processing time.

Minors

The Platform may be used by minors, for example at youth or family events. Parents or legal guardians are responsible for their child’s use of the Platform and for giving consent for location tracking on behalf of their child where legally required. We recommend that organisers of events with underage participants make appropriate arrangements with parents about the use of the Platform.

Sharing personal data

We share personal data only:

  • With followers, in accordance with the participant’s profile setting (public/private)
  • With service providers necessary for the Platform to function, including:
    • Hosting provider
    • Payment processor (Stripe), where applicable
    • Timing and results providers (such as MyLaps Speedhive, RaceResult or ChronoTrack), only when an organiser activates this integration for a race. These parties supply timing and results data to us; we do not share participants’ race or location data with them.
  • If required by law
  • To protect our rights, safety and property

Organisers receive no access to participants’ individual live location data beyond what a regular follower can see, unless a participant explicitly shares it.

We never sell or rent your personal data.

Your rights

You have the right to:

  • Access
  • Rectification
  • Erasure
  • Restriction of processing
  • Data portability
  • Object to processing
  • Withdraw consent

Security

We take appropriate technical and organisational measures to protect your data, including secure, time-limited tracking tokens for public race pages and encrypted storage of location data. However, absolute security cannot be guaranteed.

Cookies and tracking technologies

We use analytics software to measure and improve the use of the Platform, such as which pages are visited and how the Platform is used. No participant location data is shared or included in this. Where we use cookies or similar technologies for this that are not strictly necessary, we ask for your consent in accordance with applicable regulations.

Retention periods

  • Coordinates (races with a predefined route): only processed to determine the current position. No track history is stored; only the most recent coordinate is kept, which is overwritten with each new location update and deleted after the race.
  • Routes covered (races without a predefined route): kept until the participant deletes them, or until the account is deleted.
  • Account data: kept as long as the account is active, and no longer than necessary after deletion, unless otherwise required by law.

  • Use of the Platform is at your own risk.
  • Race With Me gives no guarantees about the availability, error-free operation or accuracy of data, including location data.
  • We are not liable for indirect or consequential damage, to the extent permitted by law.
  • We are not responsible for external services or websites we refer to.

Changes

We may amend this privacy policy. The most recent version is always available via the Platform. By continuing to use the Platform after a change, you agree to the amended privacy policy.
